Packard Place Office Receptionist

Position Summary   

As the Packard Place Office Receptionist, you will be the first point of contact for visitors, creating a positive and professional impression. Your role is vital in ensuring a smooth and efficient office environment, contributing to the overall success of our organization.  

Duties & Responsibilities  

  • Warmly greet and welcome visitors as they arrive at the office.  

  • Notify appropriate staff members of visitor arrivals promptly.  

  • Maintain a neat and organized reception area to create a welcoming atmosphere.

  • Assist with basic office tasks, such as sorting and distributing mail, handling deliveries, and managing office supplies.  

  • Assist in coordinating meeting room bookings and ensure they are prepared with necessary materials.  

  • Provide administrative support as needed. 

  • Provide information and assistance to visitors, such as directing them to the appropriate personnel or department.  

  • Handle general inquiries and provide accurate information about our organization.

  • Organize and maintain physical and digital files, ensuring they are accurate and up to date.

  • Handle sensitive and confidential information with the utmost care.  

  • Maintain effective communication with internal staff to relay important information. 

Education and Experience 

  • High school diploma or equivalent.

  • Previous experience in a receptionist or front desk role is a plus.  

Knowledge, Skills and Abilities 

  • Excellent interpersonal and customer service skills. 

  • Friendly and professional demeanor.

  • Strong organizational skills and attention to detail.

  • Ability to handle multiple tasks and prioritize effectively.  

Blumenthal Fellows Alumni Relations Coordinator

Position Summary  

In collaboration with Programming, the Blumenthal Fellows Alumni Relations Coordinator is responsible for developing and maintaining a comprehensive alumni database to facilitate effective engagement and communication with our alumni community, as well as monitor the effectiveness and impact of Blumenthal programs. Alumni consist of former Blumenthal Fellows Recipients. This position can be done remotely, and the candidate can work from anywhere with a reliable internet connection.

 

Duties & Responsibilities 

  • Develop and maintain a robust and up-to-date alumni database, ensuring data accuracy and integrity.
  • Regularly update alumni contact information, employment details, and other relevant data points.
  • Implement data hygiene best practices to ensure the database’s accuracy and usefulness for various alumni engagement initiatives.
  • Generate reports and analyze data from the alumni database.
  • Maintain detailed records of alumni interactions and engagement history.
  • Document alumni success stories, achievements, and milestones for promotional purposes.
  • Collaborate with Marketing, Education, and Programming to craft and distribute regular communication materials.

Education and Experience

  • Requires previous experience in communications, marketing, business, or a related field.
  • Previous experience in database management and data analysis.

Knowledge, Skills, and Abilities

  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a remote, team-oriented environment.
  • Proficient in data management and CRM systems
  • Proficient in in Microsoft Office Suite

Blumey Award Alumni Relations Coordinator

Position Summary  

In collaboration with Education, the Blumey Award Alumni Relations Coordinator is responsible for developing and maintaining a comprehensive alumni database to facilitate effective engagement and communication with our alumni community, as well as monitor the effectiveness and impact of Blumenthal programs. Alumni consist of former Blumey Awards Winners. This position can be done remotely, and the candidate can work from anywhere with a reliable internet connection.

Donor Outreach Coordinator

Position Summary   

Under the Development department, the Volunteer Donor Outreach Coordinator will play a pivotal role in strengthening donor relationships and ensuring long-term sustainability of Blumenthal Arts. This position primarily focuses on donor stewardship, including thank you calls and letters, and providing essential event support with the aim of enhancing donor engagement and retention.  

Duties & Responsibilities  

  • Place personalized thank you calls to donors to express gratitude for their contributions, share updates, and request support.   

  • Draft and send timely and heartfelt thank you letters and emails to donors, ensuring accuracy and personalization.  

  • Stay updated on organizational activities and projects to provide donors relevant updates and impact reports.  

  • Articulate the organization’s mission and funding needs persuasively and accurately.  

  • Record outcomes, donor interactions and preferences accurately in the database. 

  • Provide support at Development related events such as the Founder’s Room and other donor engagement events. 

  • Engage with donors during events. 

Education and Experience 

  • Previous experience in development, advancement, fundraising, philanthropy or related field. 

  • Previous experience in database management preferred.  

Knowledge, Skills and Abilities 

  • Excellent interpersonal skills. 

  • Exceptional written and verbal communication skills. 

  • Ability to maintain high level of confidentiality.  

  • Strong organizational skills and attention to detail.
